|Description:||We are seeking an Administrative Assistant II to join our team! This is a full time, 40 hour per week, Monday through Friday position. This position is benefits eligible.|
Is responsible for clerical and secretarial functions of the clinical team as well as responsible for systems and processes to ensure regulatory, accreditation and quality compliance in the Hospice department.
Exemplifies, supports, and promotes the Midwest CareCenter mission, values and service excellence standards. Consistently conducts oneself in a manner that promotes/markets Midwest CareCenter services, an in effort to increase census/business/revenue. Demonstrates responsible stewardship of all Midwest CareCenter resources.
|Duties:||•Demonstrates accurate knowledge base with regard to Regulatory and Compliance issues with medical record. Identifies when to alert Supervisor of issues for attention.|
•Facilitates Face to Face Process as designated.
•Performs follow-up death calls as required.
•Performs My Way process as designated.
•Facilitates Family and Friends Report as designated.
•Completes standard reports, as specified, by Monday mornings.
•Does Order Run reports daily, new patient letters three times a week and facilities changes.
Facilitation of the documentation for patients:
•Prepares correspondence to physicians, insurance companies, nursing homes, pharmacies, patients and families as appropriate.
•Supports program with typing, photocopying, faxing and mail distribution as needed.
•Processes physician orders, plans of care, certifications, re-certifications, and DNRs; logs dates of sending and receiving these documents
and follows-up on open issues.
•Enters pertinent patient data into the patient information system and makes corrections and updates to system in a timely manner.
•Facilitates the assembling, filing and disassembling and storage of patient records; audits charts to ensure all documentation is accounted for prior to release to Medical Records.
•Records and updates census daily; prepares weekly communication with SNF as requested
•Electronically scans all patient documentation for admission, certification, recertification, revocation, discharge and correspondence to central location on Midwest CareCenter Clinical Drive.
•Organizes and sets up the weekly interdisciplinary team meetings as well as monitors the documentation and needs during the IDT.
•Provides supportive information and documentation updates.
High School graduate or equivalent, some college preferred
Computer skills WORD and EXCEL, Knowledge of Allscripts system preferred, knowledge of Medicare hospice benefit as it pertains to timelines for completion, knowledge of “business machines” fax, printer.
Ability to be extremely organized, to track paper well. Computer literacy; specifically, MS Outlook, MS Word, MS Access, Allscripts.
Ability to function in a fast-paced environment; multi-tasking.
Excellent verbal and written communication skills. Ability to work independently.
Knowledge of quality customer service practices. Ability to transfer knowledge to skills required to ensure timely, quality results.
Strong organizational skills.
Ability to manage multiple projects at one time while meeting critical deadlines.
Ability to exercise sound judgment and discretion in confidential matters.
